KNOWLEDGE, SKILLS and ABILITIES:
Must possess basic education at High-School level or equivalent
Must be well organized, detail orientated, handle multiple projects, have exceptional telephone etiquette and have outstanding customer service skills
Experience on OPERA and Delphi or similar systems preferred
Must have proven communication skills both written and oral
Competence in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook) required
Must remain flexible with schedule to accommodate business needs
Be knowledgeable to perform site visits and answer questions about booking a group function.
Available to work day shift (Monday-Friday) and some weekend &; holidays as required.
Must be able to work effectively with fellow employees and guests.
Minimum typing speed 40 wpm using a standard keyboard
Greets guests upon arrival into the Administrative offices
Timeliness: Overtime is not budgeted in the position, so prioritizing is a must! Regular daily duties must be completed by the end of the scheduled shift.
Must be able to perform tasks in a safe manner and adhere to company policies and procedures
ESSENTIAL FUNCTIONS:
Through the training process and current experience, the following skills and abilities are required to successfully perform this job.
Answering phones in the Sales office as needed.
Coordinating contracts for the Sales Managers.
Mail/fax correspondence as requested and as required for normal business flow. Responding to guest inquiries via phone, email and on site.
Inputting of group reservations into the Opera system.
Circulate publications as required.
Copy and distribute weekly Banquet Event orders and function changes to appropriate departments.
Keeping all group and sales report files up to date and in an organized fashion.
Inventory and procure office supplies and promotional materials as needed.
Order printed materials.
Performs other duties as assigned
